Privacy Policy

We're upfront about how we handle your information

Look, we get it - nobody really enjoys reading privacy policies. But we figured if we're asking you to trust us with designing your spaces, you should know exactly how we handle your personal info. We've tried to keep this straightforward without all the usual legal mumbo-jumbo.

At Nexorian Field Architecture, we're committed to protecting your privacy just like we're committed to sustainable design. It's kind of our thing - doing what's right because it matters.

We're only collecting what we need to work with you effectively. Nothing shady here.

Personal Details You Give Us
  • Your name, email address, and phone number when you reach out
  • Project details and requirements you share during consultations
  • Billing info and addresses when we're working together
  • Any feedback or questions you send our way
Technical Stuff (The Boring But Necessary Part)
  • IP addresses and browser types - standard web stuff
  • How you navigate our site, which pages you visit
  • Device info and screen sizes for better mobile experience
  • Cookies to remember your preferences

We're based in Vancouver, so we follow Canadian privacy laws (PIPEDA), which are pretty solid when it comes to protecting your data.

Here's the deal - we're not selling your info or doing anything weird with it. We use what you share to:

  • Respond to your inquiries - pretty obvious, but if you contact us, we need your info to get back to you
  • Manage our projects - keeping track of design details, timelines, and all that project management stuff
  • Send invoices and handle payments - gotta keep the lights on somehow
  • Share portfolio updates - but only if you've said you're cool with that
  • Improve our website - understanding what works and what doesn't helps us make things better
  • Stay compliant - there's legal and regulatory stuff we need to keep records for

We won't bombard you with marketing emails unless you've specifically signed up for them. And even then, you can opt out anytime - no hard feelings.

Security's pretty important to us - we design buildings to last, and we protect data the same way.

Technical Safeguards
  • SSL encryption for all data transmission (that's the padlock in your browser)
  • Secure servers with regular backups
  • Password-protected systems with limited access
  • Regular security audits and updates
Physical & Administrative Measures
  • Our office at 1425 Burrard Street has controlled access
  • Physical documents are stored securely and shredded when no longer needed
  • Team members only access info they need for their specific roles
  • Everyone on our team signs confidentiality agreements

That said, no system is 100% foolproof. We do our best to protect your info, but we can't guarantee absolute security - just being honest here.

We're not in the business of selling or renting your personal information. Period. But sometimes we need to share limited info with:

Service Providers
  • Cloud hosting services for our website and files
  • Email platforms when we communicate with you
  • Payment processors for handling transactions
  • Project management tools we use internally
Professional Partners
  • Engineers, contractors, and consultants working on your project (with your knowledge)
  • Legal or financial advisors when necessary
  • Regulatory bodies if required by law
Legal Requirements

We'll disclose information if legally required - like responding to court orders, subpoenas, or protecting someone's safety. But we'll always try to notify you first unless we're legally prevented from doing so.

All third parties we work with are contractually obligated to keep your information confidential and use it only for the purposes we've specified.

Yeah, we use cookies - but not the chocolate chip kind. These are small files that help our website function better and remember your preferences.

What We Use Them For
  • Essential cookies - keep the site running smoothly, remember your login if you have an account
  • Performance cookies - help us understand which pages are popular, where people are clicking
  • Functionality cookies - remember your preferences like language settings
  • Analytics - we use tools like Google Analytics to see how people use our site (anonymized data)

Most browsers let you control cookies through their settings. You can block or delete them, though some parts of our site might not work as well if you do. Your call though - it's your browser.

Your data belongs to you. Here's what you can do with it:

Access & Portability

You can request a copy of all the personal information we have about you. We'll provide it in a readable format, usually within 30 days.

Correction

If something we have on file is wrong or outdated, just let us know and we'll fix it. We want accurate info anyway.

Deletion

Want us to delete your data? We can do that, unless we're legally required to keep it (like for tax purposes or ongoing projects). Just shoot us an email.

Opt-Out

Don't want marketing emails? There's an unsubscribe link in every message. Or contact us directly - we'll take care of it right away.

Object to Processing

If you think we're using your info in a way you didn't agree to, you can object. We'll review it and make it right.

To exercise any of these rights, just reach out to us at info@nexorianfield.info or call (604) 555-0187. We'll respond promptly.

We don't hoard data forever. Here's our general approach:

  • Active projects - we keep all relevant info for the duration of the project plus 7 years (Canadian tax law requirement)
  • Inquiries that didn't lead anywhere - usually deleted after 2 years unless you've asked us to keep in touch
  • Marketing contacts - we'll keep your info as long as you're subscribed or until you ask us to delete it
  • Website analytics - typically retained for 26 months, then automatically deleted
  • Financial records - kept for 7 years as required by Canadian regulations

Once data's no longer needed, we securely delete or anonymize it. We're not keeping stuff around just for the sake of it.

Our services aren't directed at anyone under 18. We don't knowingly collect information from kids. If you're a parent and think your child has provided us with personal information, please contact us and we'll delete it immediately.

That said, if you're involving your kids in designing your family home, that's awesome - we love working on projects that consider the whole family. Just make sure a parent or guardian is the one sharing information with us.

We're based in Vancouver, BC, and most of our work happens right here in Canada. However, some of the cloud services we use might store data on servers outside Canada (often in the US).

When that happens, we make sure those providers meet Canadian privacy standards. We only work with reputable companies that have strong data protection measures in place.

If you're outside Canada and contacting us, your information will be transferred to and processed in Canada under Canadian privacy laws.

Things change - laws get updated, we might add new services, or we might find better ways to protect your privacy. When we update this policy, we'll:

  • Post the updated version on this page with a new "last updated" date
  • Email you if the changes are significant and we have your email
  • Give you a chance to review the changes before they take effect for existing relationships

We recommend checking this page occasionally, especially if it's been a while since you've worked with us. The date at the bottom shows when we last made changes.

If something in this policy doesn't make sense, or if you have concerns about how we're handling your information, please reach out. We're real people and we actually want to hear from you.
